How Do I Manage Suppliers?

From the Main Menu go to File Maintenance and then Supplier Maintenance.


You can edit an existing supplier by clicking Change.


You can delete a supplier by ticking the box in the right most column next to the name and then press Apply Delete at the end of the page to confirm.



New Supplier

To create a new supplier click Create New at the bottom of the screen.



Enter the relevant information into each of the fields as required.

Supplier Code: This is the code to be used when assigning stock to a supplier. Make sure it is correct as it cannot be changed once the supplier is created, e.g. HER01.

Supplier Name: This is the name of the supplier, e.g. Heritage Leisure Designs Ltd.

Supplier Address/Postcode/Telephone: The address of your supplier, postcode and up to three telephone numbers.

Email Address: The supplier’s main email address.

Sage Account Number: The number Sage uses for this supplier.

Lead Time: The lead time in days for this supplier.

Discount Percentage: How much discount this supplier offers.

Minimum Order Quantity/Value: The minimum amount/value of stock that may be ordered from this supplier.

Email Purchase Order: Whether or not you want to send an email upon approval of a purchase order with this supplier.

Purchase Order Email Address: Where the purchase order approval email will be sent if the box above is ticked.

When you are ready to create your supplier, press the Insert button.


Supplier Contacts

Once you have created the supplier, you can edit and assign it multiple contacts. Find the supplier you wish to modify from the list, using the search box if necessary, and click Change.


At the bottom a new button labelled Show/Hide Contacts has appeared. If you click it you can add and edit your supplier contacts. Clicking it again will hide the contacts.



There are five boxes across into which you can enter your contact’s name, position, email, phone and mobile.

Enter a value into at least one of these boxes and press Update to add a new contact.

The new names will now appear in the contacts section.

You can edit the details of a contact by changing the values in the boxes and pressing Update.



You can also delete a contact by ticking the box in the right most column next to it and pressing Delete Selected.

Please note: Pressing update in the contact section will not update changes in the main supplier section and vice versa. You will have to update each section at a time.
