Matching Credit Notes

Matching Credit Notes

First go to the Accounts tab from the main menu and select Invoice Matching.



Select a Branch. Then select whether you would like to register a new credit note or match a previous credit note. 

Press search to show previously registered credit notes.



If you have selected to register a new credit note you will have to complete the following fields:

  • Supplier Code - enter or search for the credit note.
  • Credit Note Date - Select a date for the credit note.
  • Credit Note Supplier Reference - this is the reference of your supplier's credit note.
  • Credit Note total - the total value of the credit note.
  • Carriage/Delivery - how much the carriage/delivery costs.
  • You will now have the chance to enter a VAT breakdown against each vat code.
  • Make sure to press the Update button in the VAT breakdown box.

You can use the Recalculate button to show the calculated goods value if you change the values.


You can enter Credit Note Notes against the credit note.


Press Register Credit Note to complete the credit note.


If you chose to match a previously registered credit note you will see a list of outstanding credit notes.

You can filter credit notes with a date after the From Date or have a specific Supplier code.

Click on the Register Number link to go to the next step. This will allow you to edit the details of an existing credit note.

Press Update Credit Note to start the matching process. You can press the Delete Credit Note button to delete the credit note.


You will be given a list of outstanding debit note lines that you can match against for the given supplier. Tick the box in the right-hand column next to the items you would like update.

The total value of your debit note items should match the total value of the credit note, otherwise it will display an error.

Press Update at the bottom when you are ready to complete.

Press Abandon at any time to return to the home screen.
