Start off by making sure that the previous Goods Receiving file has been deleted from the Scanner. To do this follow the steps below.
Power on the handheld scanner if not already on.
1. On the main menu press Number 8 for Files Menu.
2. On the files menu press Number 8 for Delete Menu.
3. On the delete menu press 2 to delete the goods in file.
Press ENT to confirm
File is now deleted.
If there is no file to delete the scanner will show the message “File Emptyâ€
The Red “F1†button located at the bottom can be used to go back a step until you reach the main menu.
1. Press number 3 on the Main
Menu to select Goods Receiving. The scanner will then ask you to scan the Site
Location (Site Loc)
Note: These barcodes can be printed out in the back office from Purchase Ordering > Scanner Barcode Labels. Select either Print Locations, Print Suppliers or Print Reasons.
Scan the supplier barcode, in this example we are using Adidas.
When the scanner asks for a PO Number ignore this and just press “ENT†to go past this step.
When the screen shows with LOCN,
SUPP & PO you are ready to start scanning products.
If you wish to enter a Quantity of a product once you have scanned it you can key in the quantity and
press ENT. In the example below I have typed 22 into the keypad and pressed the
ENT button.
To scan each product individually you can scan each item without
having to enter a QTY.
WHEN YOU HAVE SCANNED THE LAST PRODUCT, IF YOU HAVE JUST SCANNED ONE ITEM YOU MUST PRESS THE ENT BUTTON. SCREEN MUST SAY “Scan/Key Product†before you press F1 to return to the main menu.
1. From the Main Menu, go to option 8, Files Menu.
2. Press 3, Send Goods In.
3. Send Goods File In, select YES.
4. Ensure the scanner is in the cradle and press any key to start the upload.
Two beeps will confirm the file has been uploaded.
From the main menu go to the Warehouse menu and select Goods Receiving from Scanner Uploads.
On the first screen you should select the branch that the purchase order was created on, the suppliercode and the datereceived. Press Search for Scanner Import Files to show the matching files.
If there are files that matched your search then they will be listed below.
Ensure that the file id, scanner id and unprocessed lines match what you were expecting.
Select the files that you wish to process by ticking the select box in the rightmost column and then press upload.
You will be given a list of stock items that were scanned. You can delete lines that are not required by ticking the the rightmost column and pressing DeleteSelectedLines at the bottom. If there are lines in the scanners that are not on the purchase orders then these lines will be marked as red in the Status column. These will need to be deleted before you can post the GRNs.
You can press Abandon at any time if you decide you do not wish to post the GRN.
In the bottom left corner of the screen are a list of purchase orders that are available to be received against. Click the link in the Purchase Order No. column to receive against each PO.
You will see a list of items that have been scanned. There are three column for quanities. Qty On Order is the quantity on the orignal purchase order. Qty Received is quantity that has been scanned and can be modified if necessary. Deliv Note Qty is the quantity on the delivery note that came with the delivery, this can also be modified if necessary.
Lines which have not been scanned but were on the purchase order will be highlighted in light red. This just means that these quantities will need to be processed at a later date if you are not receiving them today.
You
will need to enter a delivery note number before you can update.
Updating these quantities will not yet create any stock, this will be done at the end.
At the bottom of this screen is a post button to update the items as posted and return to the previous screen. There is also a cancel button in case you decide that you do not wish to proceed, such as finding there is a mistake in the count or the delivery.
If you have items which have not had a primary bin location assigned to the item yet you must do this before you can complete.
A red X will be shown for any items which have no primary bin. You can either click the red x to bring up the bin location popup or click the Copy Above button to set that item’s bin location to be the same as the one above.
If you select the popup option, you can drag and drop the possible bin locations on the left over the slots on the right.
You can filter bins by entering text into the filter box and pressing search. For example if you want to only show bins in the AA Aisle then you can enter AA- and it will filter the aisle (note the use of the hyphen). Use can also filter only empty bins.
Drag a box over to the desired slot (primary, secondary, overflows etc). Press OK to update the bin location agianst the item. Press Cancel to return to the GRN posting screen.
Once you have updated the quanities for each purchase order, you can now post the files and create the GRN. You can still abandon the post at this point and it won’t change any stock.
To complete press Post GRNS.
