Shop Restocking With Scanners Via In Transit Branch

1.     Branch Restocking Pick Note Generation


First go to the warehouse tab from the main menu and select Branch Restocking Pick Note Generation.

Select one of the warehouse branches from the Warehouse dropdown box.

Select the store branches from Branch(es) To Be Replenished. You must select at least one.

You can filter for items based on department, sub department, supplier, description or SID.
You can also choose to pick high value items or non high value items or both.

Select whether to Include Items with Insufficient Stock at Warehouse. This means whether or not to include items if there is not enough stock at the warehouse to fulfil the shop to its maximum.

Once you are happy you should click Create Picking Note.

If there are picking notes that are in progress but have not been reviewed they will show in the top right. Select a pick note from the drop down and press Recall. You can only recall once all items have finished generating.

Once the picking notes have been generated you will be presented with the list of suggested items on the screen. You will see a table for each branch you have selected. Here you can enter the quantity to be picked for the branches against each item.

If the quantities you wish to transfer are different from those suggested you can enter your own quanties in. You can allocate the stock between the branches. For example is you have 6, 4, 5 you could change this 5, 5, 5 or 0, 0, 15. You can enter any combination, as long as the total quantity for the item across all branches does not exceed the warehouse available qty.

If you do not wish to pick an item, you can either untick the box in the right most column or enter zero into the quantity box for the item.

The total required stock column shows the quantity required to bring all items up to their maximums for all branches. The total allocated stock column shows the total quantity that is to be picked. If this column is different from the total required column, the line will be marked red.

You can press the recalculate button which will recalculate the values in the total allocated stock column based on the quantities that you have entered in the boxes.

You will be given 25 items at a time. Press next to move to the next page. Please note that you will not be able to go back without abandoning the whole pick, so please make sure the items you have selected have the correct values.

Once you reach the final page you will be presented with a summary of the total items and the Complete button will now be available to press. Press Complete to marked the generated pick notes as reviewed.

Important!     You can Abandon the process at any time. If you do not wish to pick any items, please make sure that you press abandon and it will remove the picking notes from the system. If you do not abandon any unwanted pick notes, the items will continue to have reserved pick quantities, which will reduce available stock.

2.     Picking Note Printing

First go to the warehouse tab from the main menu and select Picking Note Printing.

Select a warehouse branch from the Warehouse dropdown box.

Select unprinted to print the pick notes you have just generated. Use previously printed to reprint a pick note that has been previously printed but not yet confirmed.

You can choose to print the pick note in forward (start) or reverse (end) walk sequence order.

There is an option to print the barcode as a printable barcode, which can be read by a scanner, or just the numbers.

If you selected more than one branch in section 1 then you may want to print a consolidated pick. You will get a pick note for all quantities across the branches, as well as a pick note for each branch.

Click search to display pick notes matching your filters. Only pick notes that have been reviewed will be shown.

Select the pick notes from the list and press Print.

3.     Picking Note Confirmation From Scanners

First go to the warehouse tab from the main menu and select Picking Note Confirmation From Scanners.

You can either enter the pick note number or scan the barcode on the top of the pick note into the Pick Note Transfer No. box.

Press Next if you are entering manually.

Select the order for the walk sequence and choose whether you counted your items using scanners.

If you are not using scanners you will be taken to the next screen and the values will be pre-populated with the requested quantities.

If you are using scanners, and once you have entered a pick note number, you will be shown a list of scanner files that have not yet been posted. If you don’t select any scanner files, then the quantities will all be set to zero.

You have the option to delete a scanner file by selecting a file and then pressing the Delete button.

Select any files you wish to process and press upload to go to the next screen.

You will now be shown a list of items that were created on the picking note.

The quantities uploaded from the selected scanner files will be loaded into the Qty Picked column.

You may manually enter quantities against each item.

You can abandon the post at any time if you change your mind.

Press next to continue. You will now be requested to enter the number of cartons. Enter a number and press Post Update.

You will now be given the option to print the transfer note.

4.     In Transit Branch Receiving

First go to the warehouse tab from the main menu and select In Transit Branch Receiving.

Select a branch from the Branch drop down box. The branch must match the receiving branch for the picking note number you enter.

You can either enter the pick note number or scan the barcode on the top of the transfer note into the Pick Note Transfer No. box.

Press Next if you are entering manually.

You can abandon the post if you don’t want to proceed.

Click update and it will complete the transfer from the in transit branch to the store.

This will confirm the transfer with the quantities from the original pick note. If the quantities vary then you will need to use Branch Receiving Shorts/Overs.

5.     Branch Receiving Shorts and Overs

First go to the warehouse tab from the main menu and select Branch Receiving Shorts and Overs.

You can either enter the pick note number or scan the barcode on the top of the transfer note into the Pick Note Transfer No. box. This is the same picking note number you will have already used in In Transit Branch Receiving.

Press Next if you are entering manually.

The quantities will be defaulted to the pick note quantities. If the quantities you received into the shop differ from those on the original pick note you can enter the values into the Qty Received box against each item. The difference will be calculated and any differences must have a reason selected from the Reason drop down for it.

Press Update when you have entered any differences.

6.     Branch Transfers Short and Overs Posting

First go to the warehouse tab from the main menu and select Branch Receiving Shorts and Overs Posting.

You can filter on the Date or on Picking Note Transfer No. Select the display sequence as either stock code order or branch order. Press Next to continue.

You will be given a list of any items that have been marked as having a difference from Branch Transfers Short and Overs in the sequence order chosen. For each line you can select an Action and a reason.

You can Abandon at any time.

There are four option for the action you may choose to take.

Write Off (negative differences only) â€" Take the difference out of the shop branch and remove it from the system.

Accept and return (negative differences only) â€" Transfer the difference from the shop back to the warehouse.

Return (positive differences only) â€" Do nothing with the stock and keep the difference.

Accept increase (positive differences only) â€" Transfer the difference from the warehouse to the shop.

You should select an action against each line you wish to update and select a reason against it. Press Update when you are ready to post the changes
